15 Pricing Questions That Reveal the Real Cost of Prop Firm Software

The right pricing questions turn a monthly headline into a usable total-cost model. Send the same questions to every shortlisted vendor and insist that “included” and “extra” are explicit.

  1. What is the exact setup/onboarding fee? Ask when it becomes non-refundable.
  2. What is the monthly minimum? Separate software from third-party services.
  3. What exactly is the billing unit? Account, active trader, funded trader, credit or something else?
  4. How is the unit counted? Peak, average, created during month or active at billing date?
  5. What happens above the included capacity? Overage, automatic tier upgrade or negotiation?
  6. Are trading-platform costs included? Include licences, bridge/broker connectivity and market data.
  7. Are KYC checks included? If not, who contracts and pays?
  8. Are payment processing fees included? Integration is not the same as processing.
  9. Does API/webhook access cost extra? Note plan gating.
  10. Are additional brands/domains extra? Important for multi-tenant operators.
  11. What does migration cost? Include custom mapping and overlap assumptions.
  12. Which support/SLA is included? Dedicated/24-7 access may be enterprise-only.
  13. Is there any revenue/profit share? Define the base, floor and tier.
  14. Can prices change during the term? Record notice and renewal rules.
  15. What does it cost to leave? Export, migration assistance, notice and prepaid fees.

Why identical monthly prices are not identical economics

One $1,000 plan might include platform capacity and migration while another requires separate licences and usage. Conversely, a more expensive plan can include services that would otherwise be purchased separately. Compare the stack, not the invoice label.

Use fixed volume scenarios

Ask every vendor to price 500, 2,000 and 10,000 active units where relevant. This reveals tier cliffs and marginal costs that are invisible in entry pricing.
